Visitor management

Know who is on site, visitors included

Pre-book visitors, sign them in on a gate tablet or a supervisor's phone, and keep one log. Every visit records who the visitor came to see, and the host is told when they arrive.

30 days free, no card needed. Visitor management is on the Complete plan.

The problem with the visitor book

A paper visitor book is not a record

It sits on a desk by the gate, it is hard to read, and in an evacuation nobody can find out who is still inside.

Nobody reads it in an emergency

A paper list is not with the person running the muster, and handwriting and times are guesses.

Nobody signs out

Visitors walk off with the pen still in the book. Next morning you still do not know who left.

The host is the last to know

A delivery driver or client waits at the gate while someone tries to find out who they are here to see.

Four ways in

Sign a visitor in however they arrive

Every route creates the same record in the same log.

Invite them first

Send an invitation by email or text. The visitor opens a link and enters their details before they arrive, so signing in on the day is quick.

Gate tablet

A tablet at the entrance. Visitors enter name, company, reason for visit and host, can add a photo, and confirm a safety declaration. They can also check in against an invitation.

Supervisor's phone

Sign In Visitor logs a walk-in who was not pre-booked: name, company and reason, in seconds.

Added by an admin

Add a visitor from the Visitors page with details, photo, host and vehicle, then print a badge straight away.

Safety declaration

Set the statements visitors must confirm per site, such as PPE and the evacuation procedure. The confirmation is kept on their record.

Visitor induction

If the site has a visitor induction, a new visitor shows as Pending. Complete it face to face, send the link, or waive it with a reason that is kept on record.

On the day and afterwards

One log, ready for an audit or a roll call

Everything on one row per visit

Whoever signed the visitor in, the log holds the same details.

  • The record: name, company, reason, site, host, photo, vehicle and induction status.
  • Arrival and departure: sign-in and sign-out times, with the option to sign someone out if they left without doing so.
  • On site only: filter the log to visitors who have not signed out. With today and the site chosen, that is the visitor half of a roll call.
  • Locked after sign-in: entries cannot be edited, so the record stands up when someone asks.

Part of the same site picture

Visitors sit alongside workers where it matters, and apart from them where it does not.

  • Host on record: every visit shows who the visitor came to see, so the host can account for them in an evacuation.
  • Host notified by push notification when a visitor checks in at the tablet.
  • Kept out of payroll: visitors never appear in worker hours or timesheets.
  • Visitor Log report: filter by date and site for clients and inspections.
How it works

From invitation to sign-out

1

Invite or turn up

Send an invitation, or let the visitor sign in on arrival at the gate tablet or with a supervisor.

2

Check in

They confirm the safety declaration and, if the site requires it, a visitor induction. The host is notified.

3

Sign out

They sign out at the tablet, or an admin does it for them. Visitors not signed out by the end of the day are flagged for follow-up.

Frequently asked questions

Which plan includes visitor management?

Visitor management is on the Complete plan. See the pricing page for what each plan includes.

Do visitors need an account or the app?

No. A visitor can register from an invitation link or sign in at the gate tablet. A supervisor can also sign them in from the AttendIQ app.

Do visitors appear in payroll or worker hours?

No. Visitors are kept apart from workforce attendance, so they never appear in hours, timesheets or payroll.

Can the visitor log be edited?

No. Entries are read-only after sign-in, to keep the integrity of the record. If someone left without signing out, an admin can record their departure.

Does the gate tablet need a login?

The tablet opens a site-specific link and cannot reach worker records, attendance data or any admin screen. You can revoke the link and create a new one at any time, which disables that tablet immediately.
